Job Description: We are looking for a dedicated and empathetic Medical Scheduler to join our team. In this role, you will take charge of our medical scheduling calls. You will be handling inbound/outbound calls to patients, collecting insurance info, educating patients as needed, answering questions, and overcoming any objections needed to book an appointment. You will work closely with our practice leadership team to test different education scripts and strategies, tracking which approaches are most effective in various scenarios and continuously refining these.
As part of this role, you will also be spending time on coaching/training and strategic work. Roughly 70% of your time will be on calls and 30% spent on coaching/training and strategic work.
This is a position where your ability to make each patient feel valued and cared for is paramount. You will be responsible for both inbound calls (assisting patients who are booking appointments + overcoming any objections they have) and outbound calls (following up with patients who have filled out our online appointment request form).
Key Responsibilities: ? Patient Booking: Engage with patients through inbound and outbound calls, focusing on overcoming objections and providing relevant patient education to increase appointment booking rate. Ensure that each interaction is warm, informative, and leaves the patient feeling confident and cared for. ? Strategic Development: Develop and refine call scripts and tactics to handle patient education, overcome objections, and ensure a high appointment booking rate. ? Training & Mentorship: Assist in training junior team members, helping them to develop the skills needed to maintain our high standards of patient care and high appointment booking rates. ? Call Tracking: Maintain and oversee the accuracy of our spreadsheet call tracker, ensuring all team members are diligent in their tracking. ? Collaboration: Work closely with others departments to ensure smooth communication and handoffs of information
Requirements: ? Empathy & Warmth: Demonstrated ability to make patients feel welcomed and valued in every interaction. ? Medical Scheduling Acquisition Experience: Previous experience in medical scheduling. ? Healthcare Familiarity: Existing experience in healthcare; familiarity with how to collect patient insurance information...etc. ? Organizational Skills: Highly organized with a strong attention to detail, particularly in maintaining call tracking systems. ? Work Environment: Reliable internet connection and a quiet, undisturbed work environment for making and receiving calls.
Nice to Have:
? Familiarity with Dialpad or similar HIPAA-compliant communication platforms.
? Experience with insurance copay and patient out-of-pocket estimates.
