About the Role:
? We are seeking a detail-oriented and efficient Virtual Administrator - Project Management with major experience in ASANA to join our team. This role involves overseeing various aspects of client projects, including daily task management, reporting, and communication. Responsibilities also include providing updates on the ads running for each campaign, as well as monitoring budgets and spending.
? The ideal candidate will be proficient in project management tools, possess excellent organizational skills, and thrive in a fast-paced environment.
Working Time: 9PM to 6AM IST
1. Daily Action Items
Asana Task Item Review
- Send PM a list of all task items that have not been completed
- Segment out based on client
- Include due date and individual task is assigned to
Implementation: Can be Trained on Call
Review Client Dashboard on Agency Analytics to check campaign status
- Look at KPI?s and each performance on campaigns
- Update on what ads are running for each campaign +budget/spend
Update Asana Dashboard for Paid Media (Need to be created)
- Client paid media quick overview dashboard
- Will need to monitor Agency Analytics
2. Weekly/Biweekly Action Items
Update Client Notes Using Asana (Weekly)
- Create new section on notes for before client meeting
- Use Asana to see what tasks have been completed and what is still left
- Get updates from team on progress of tasks that are not finished
- Use AI tracked audio notes from each meeting to complete this
Send out Client Recap Emails (Weekly)
- Use specific format to send out a recap email after meeting with client
Update Asana After Client Meetings (Weekly)
- Use notes to input all new task items into Asana
- Tag each individual and put due date based on when project needs to be completed b
Pull Report for each client and put information into PDF file (Twice A Month)
- Create cover image using correct dates and client logo
- Pull reporting stats from built out templates in Agency Analytics
- Use Adobe Acrobat to put into PDF and organize pages
Update Weekly Internal Meeting Notes (Weekly)
- Update meeting notes Monday of each week before meeting
- Use Asana to track progress of each task item
- Only include tasks that need to be done
- Include meeting time with client in future
- Include quick summary of paid media for each client
Other tasks:
? Content Production Calendar Management and creation
? Calendar management for team meetings
? Finding images and graphics online
? Social Media Management
? Spreadsheet creation (I assume this means reporting and dashboards into spreadsheets)
Also, I assume that your VA's are trained in Miro to be able to edit and clean things up there? We do a lot of our content production calendars in there and its super easy.
Work Environment
- Work hours aligned with Mountain Standard Time
- Collaborative team environment using various digital tools for communication and project management
Job Type: Full-time
Pay: ?400,000.00 - ?600,000.00 per year
Schedule:
? Monday to Friday
? Night shift
