How will you make an impact in this role? This is an opportunity to be part of the Intellectual Property Law & Strategy (IPLS) Group. This position is responsible for administrative support for four Vice Presidents and other colleagues in the group. This is a high-paced environment that requires planning, prioritization, problem-solving and collaboration skills, strong communication, attention to detail and flexibility. The ideal candidate must be experienced in handling a wide range of administrative related tasks and be able to work independently and confidently under pressure. Building strong relationships, being resourceful, and knowing how to navigate large organizations fluidly will also be critical to success in this position. Overview of Job Responsibilities/Qualifications: ? Enhance the Vice Presidents? effectiveness by providing logistics, scheduling, coordination, administrative, time-management, and communications support. ? Maintain appointment schedule by planning and scheduling meetings with senior executives internally and with clients across multiple time zones and by resolving calendar conflicts. ? Prepare, review, and process expense reports. Be well versed in expense policies and procedures. ? Proven experience providing support to executives with exceptional organizational, administrative, and interpersonal skills, a keen attention to detail and a sense of urgency in execution and follow-up. ? Ability to work well in a dynamic and fast-paced organization and manage multiple tasks and conflicting and changing priorities with little direction. ? A strong sense of integrity with ability to handle sensitive issues and maintain complete confidentiality. ? Positive attitude, respectful, solutions-oriented, proactive, able to prioritize, and reliable. ? Advanced computer skills required, including proficiency with Microsoft Office such as PowerPoint, Excel, Word and Outlook. ? Comfortable utilizing tools and applications, such as Concur Expense & Travel, Ariba, SharePoint, WebEx, Slack. ? Proclivity to remain agile and learn new technology and processes quickly. ? Excellent written and verbal communication skills ? communicates directly, honestly, and with positive intent. ? Flexibility, ability to work effectively in a team, anticipate needs and seeks ways for leader?s organization to run efficiently. ? Exudes professional maturity. ? Maintain headcount reporting and organizational charts. ? Manage domestic and foreign travel arrangements including air, hotel, car transfers and meeting agendas. ? Organize internal and external business meetings, including group meetings, making all necessary arrangements including sending invitations, reserving rooms, conference call and telepresence setup, printing copies and arranging catering. ? Provide office support such as signing for, collecting, and distributing mail; mailing correspondence; managing team?s use of offsite storage; scanning, printing, and filing materials; and managing office supplies. ? Supporting team administration, including updating distribution lists and shared mailbox access, renewing team subscriptions, and managing user access, setting up team meetings, and other projects as needed. ? Assist with timekeeping duties. ? Team player willing to provide coverage for other department Executive Assistants taking time off for vacation or sick days. ? Willing to provide and receive feedback in a constructive manner and to contribute to a welcoming and inclusive culture. ? Experience working with intellectual property patent and trademark teams a plus. ? Experience with project management a plus. ? Bachelor?s degree a plus. Salary Range: $24.05 to $48.10 hourly bonus benefits The above represents the expected hourly pay range for this job requisition.
