ABOUT US:

This full-time position spans two closely aligned companies, both led by the same founder:
? Teen FND Academy (TFA): We empower teens with Functional Neurological Disorder (FND) and their parents to resolve FND through a structured online coaching program.
? Your Pediatric Psychologist (YPP): A private practice offering evidence-based psychological treatments, including Cognitive Behavioral Therapy (CBT), Biofeedback, Hypnosis, and Acceptance and Commitment Therapy (ACT), to help teens with chronic pain and FND.

We are looking for a proactive Executive Assistant who can help free up the founder's time by staying one step ahead, anticipating needs, and driving operations forward. This is not a 'work-from-home, set-it-and-forget-it' role. It requires dedication, flexibility, and availability outside standard business hours when necessary.

ABOUT THE ROLE:

The Executive Assistant will play a pivotal role in supporting the founder and leadership team by managing operations, organizing tasks, and ensuring projects stay on track. This is a dynamic position where you?ll take initiative, solve problems, and directly contribute to the success of the growing businesses.

RESPONSIBILITIES: ? Administrative Support: ? Manage and optimize the founder's calendar, ensuring seamless scheduling. ? Handle email correspondence, filtering and prioritizing communications. ? Prepare meeting agendas, take notes, and follow up on action items. ? Provide personal administrative support to the founder as needed. ? Project Management: ? Track progress on key initiatives to ensure deadlines are met. ? Create and maintain project documentation and reports. ? Task Coordination: ? Serve as a liaison between leadership, clients, and contractors. ? Anticipate and prioritize tasks based on company goals. ? Communication: ? Act as the founder's representative in professional settings. ? Draft and edit correspondence, presentations, and documents. ? Travel Coordination: ? Plan and arrange travel itineraries, accommodations, and logistics. ? Research and Reporting: ? Conduct research to support decision-making. ? Generate reports and summaries for leadership review. ? Process Optimization: ? Identify and implement ways to streamline workflows. ? Maintain and improve organizational systems and tools.

WHAT WE?RE LOOKING FOR:
? Proven experience as an Executive Assistant or in a similar role supporting leadership in a fast-paced environment.
? Exceptional organizational and time-management skills.
? Ability to adapt to shifting priorities and thrive in a high-growth setting.
? Proactive problem-solver with a strong attention to detail.
? Excellent written and verbal communication skills.
? Tech-savvy: Proficiency with tools such as Google Workspace, Asana, Slack, Kajabi, Copper CRM, Notion, and Zoom is essential.
? High level of discretion and professionalism in handling sensitive information.
? Bonus: Familiarity with online coaching programs or mental health practices.

Your success will be measured by:
? The amount of time you save the founder by efficiently managing responsibilities.
? Your ability to anticipate needs and proactively address challenges.
? Positive feedback from leadership and team members.
? The smooth execution of projects and initiatives.

HOURS:

While flexible, you must be available during 9 AM?6 PM Mountain Time and occasionally outside these hours as needed.
