Online Chat Specialist
We are seeking a detail-oriented and tech-savvy
Online Chat Specialist
to manage and optimize our customer relationship management system. In this role, you will be responsible for maintaining data integrity, supporting sales and marketing efforts, and analyzing CRM performance metrics to improve business outcomes. The ideal candidate is a self-starter with a strong analytical mindset and a passion for enhancing customer experience through effective CRM management.
Key Responsibilities:
- Greet and welcome guests and clients in a warm and courteous manner
- Answer incoming calls and direct them to the appropriate person or department
- Manage and distribute incoming and outgoing mail, emails, and faxes
- Maintain a tidy and organized reception area, including conference rooms and common areas
- Schedule appointments and update calendars for meetings and events
- Handle queries and provide information to clients and visitors
- Assist with administrative tasks such as data entry, filing, and typing documents
- Monitor and order office supplies to ensure adequate stock levels
- Maintain confidentiality and handle sensitive information with discretion
- Collaborate with other team members to ensure a seamless and efficient workflow
Qualifications:
- High school diploma or equivalent; additional certification in office administration is a plus
- Proven experience as an office receptionist or in a similar role
- Excellent communication and interpersonal skills with a customer service-oriented approach
- Proficient in Microsoft Office and other office management software
- Strong organizational and multitasking abilities
- Attention to detail and ability to handle and prioritize multiple tasks in a fast-paced environment
- Ability to remain calm and professional in stressful situations
- Familiarity with basic office equipment such as printers, copiers, and fax machines
- Strong work ethic and a positive attitude
- Ability to maintain confidentiality and handle sensitive information with discretion
