Job Overview
We are on the lookout for a motivated and approachable Operations Admin/Front Desk Assistant to become an integral part of our team. This position is ideal for an individual who excels in multitasking and flourishes in a friendly and engaging atmosphere. Serving as the initial point of contact for our organization, you will deliver essential administrative and business development assistance, playing a pivotal role in our operations. If you possess strong technical skills and are well-versed in software tools such as Microsoft Office, CRMs, and digital media platforms, we welcome your application.
Key Responsibilities
? Greet and assist clients, candidates, and visitors in a warm and professional manner.
? Facilitate visitor entry and guide individuals to meeting rooms or relevant contacts.
? Manage incoming calls, addressing inquiries and carrying out employment verifications.
? Provide general office assistance and address office-related questions.
? Organize lunch orders and distribution for meetings and special events.
? Handle the receipt and distribution of mail and packages, as well as assist with shipping needs.
? Ensure the front office area is neat, organized, and fully stocked.
? Support the preparation and updating of candidate resumes for client presentations.
? Maintain and regularly update the CRM for effective tracking of leads, contacts, and transactions.
? Assist with the management of candidate applications within the ATS when necessary.
? Organize and maintain both physical and digital documentation.
? Prepare documents for client meetings, proposals, and presentations.
? Schedule follow-ups and meetings to support the business development efforts.
? Assist in the preparation and formatting of Statements of Work (SOWs).
? Contribute to planning and executing company events, including client meetings and webinars.
? Collaborate with the marketing team to produce promotional materials and manage event logistics.
? Develop digital content, including flyers, social media graphics, and other marketing materials.
? Maintain the ?Wall of Fame? that showcases company achievements and milestones.
? Oversee thank-you notes and gifts for clients to foster positive relationships.
? Coordinate communication with plant service providers and manage plant care.
? Ensure conference rooms are well-maintained and adequately supplied.
? Monitor office supplies and manage printer inventory.
? Conduct daily cleanliness checks of the office and address any cleanliness concerns.

Qualifications
? A high school diploma or equivalent is required; a Bachelor's degree is preferred.
? Proven experience in an administrative or front desk capacity is essential.
