In your role as the Facilities and Hospitalities Manager, you will be instrumental in maintaining the operational integrity of our office environments located in New York City, Washington DC, Hartford-CT, and San Francisco. You will serve as the primary resource for all facilities-related matters, offering essential support and innovative solutions to colleagues across various levels.

Key Responsibilities
? Overseeing maintenance, custodial services, security, and furnishings across all four office locations, both reactively and proactively.
? Conducting regular assessments of office conditions and recommending necessary repairs and maintenance.
? Managing work orders, requests for proposals (RFPs), and contract negotiations as required.
? Acting as the main liaison for facilities-related inquiries, coordinating with contractors, security teams, and building management.
? Administering key/fob/security card programs and addressing security concerns.
? Proactively identifying and resolving safety hazards.
? Assisting with renovations, refurbishments, and construction projects.
? Drafting and implementing policies and procedures for efficient facilities management.
? Overseeing office supply procurement and seeking improvements for efficiency and cost-effectiveness.
? Managing office assignments, relocations, visitor access, and on-site facilities support.
? Supervising staff, including recruitment, mentoring, training, performance evaluations, and employee relations.
? Enhancing our hospitality program with a focus on client interaction and service quality.
? Ensuring conference areas are consistently client-ready.
? Managing catering and other services to align with our brand standards.
? Overseeing office facilities, including safety initiatives, security systems, and supply inventories.
? Developing and maintaining comprehensive safety plans and procedures.
? Acting as the primary point of contact for emergency communications firm-wide.
? Identifying, approving, and liaising with vendors.
? Managing mailing services and identifying cost efficiencies.
? Overseeing departmental budgets and expenditures.
? Traveling regularly to each office to engage with attorneys, staff, property managers, vendors, and other stakeholders.
? Executing additional duties and projects as assigned.

Qualifications
? A minimum of 5 years of experience in office facilities management, property management, or building maintenance, preferably within a law firm environment.
? Capability to travel and work flexible hours, including evenings and weekends.
? Proven supervisory experience, ideally managing distributed teams.
? Demonstrated ability to build and maintain relationships with contractors, vendors, and building management.
? Relevant job certifications will be considered an asset.
? Exceptional verbal and written communication skills.
? General familiarity with office equipment and tools.
? Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems.
? Ability to establish rapport with attorneys and professional staff.
? Strong organizational skills with meticulous attention to detail.
? Self-motivated with a high degree of initiative and the ability to work independently as well as collaboratively.

This full-time, benefits-eligible position is available with a targeted salary range of (120,000.00 to )132,000.00 annually, with the higher end reserved for exceptionally qualified candidates. The role can be based in our Washington DC or New York offices.
